Digital waivers for studios
Members sign on a phone, tablet, or kiosk. The PDF lands on the same member record as the wallet pass and the door log — not in a second product.

Signed on a phone, filed as a PDF
A climbing gym, yoga studio, or boutique gym does not need a filing cabinet or a standalone waiver login. The member (or a guest) opens a branded form, signs, and taps submit. FlowPass stores a PDF with the signature and a timestamp, then attaches it to that person in your dashboard.
Search by name, email, or date when you need the document — not by guessing which drawer held last Tuesday’s clipboards.
Members, guests, and minors
Recurring members sign once (or again when you publish a new template). Drop-ins and day-pass visitors sign without buying a membership. Guests still get a record, because the signed PDF has to live somewhere searchable — and people in your member records count toward Starter’s 500-person cap.
For under-18s, a parent or guardian provides consent. Studios can change the age threshold; the default is 18. That is the same record you will later attach a wallet pass to, and the same record the desk will see at QR check-in.
- Template editor: drag-and-drop fields, your branding, and multi-page waivers with a live preview.
- Tablet kiosk mode: full-screen signing at the desk, auto-reset after each signature, staff PIN to exit.
- Guests and minors: day-pass waivers with no membership required, and parent or guardian consent for under-18s.
- Searchable archive: every waiver becomes a PDF with signature and timestamp.
Tablet kiosk at the desk
Kiosk mode is a full-screen signing view on a tablet — not an iPad-only accessory. After each signature the screen resets for the next person. Staff use a PIN to leave kiosk mode so a visitor cannot wander into the dashboard.
The same templates work on a phone in line, on a tablet at the mat, or on a kiosk at the front desk. You are not maintaining three waiver products for three devices.
Build templates in the editor: drag-and-drop fields, your branding, and multi-page waivers with a live preview. Your waiver language is yours. Have counsel review it before members sign it. FlowPass stores the signed file; it does not write your liability copy.
Front desk setup is the same loop every morning: unlock the tablet, open kiosk, let the line sign. No reprint of paper pads. No “we’ll file it later” pile. If a member needs a copy, you pull the PDF from their record instead of reconstructing a signature from memory.
One record, not three logins
Separate waiver software is how desks end up asking “did they sign?” while a second tab holds the membership card and a third holds the door. In FlowPass the PDF, the pass, and the visit history share a member record. Front-desk staff stay in one dashboard.
Starter is $79 a month for up to 500 members and includes digital waivers, wallet passes, and check-in. Pro is $149 a month for unlimited members, API access, and advanced analytics. Both billed monthly. Integrates with Mindbody, Square, and Stripe on Starter.
When you need a backup, export the member list and waiver PDFs. If you cancel, email support@getflowpass.com and you will not be billed again.
Digital waiver questions
Can guests sign without becoming members?
Yes. Day-pass and drop-in waivers do not require a membership. Guest records still live in your member list, so they count toward the Starter limit of 500 people in member records.
How do minors sign?
A parent or guardian provides consent for under-18s. Studios can change the age threshold; the default is 18.
Where are signed waivers stored?
Each signature becomes a PDF with a timestamp and lives on that person's member record. Search by name, email, or date from the dashboard.
Does kiosk mode require an iPad?
No. Kiosk is a full-screen signing view on a tablet at the desk. It auto-resets after each signature. Staff use a PIN to exit.
Do digital waivers replace legal advice?
FlowPass stores the signed document. Your waiver language is yours. Have counsel review templates before you put them in front of members.
